How Do I Get Paid Safely When Selling Equipment Privately? Payment & Scam Q&A

High-value machines attract fraud. Whether you're buying or selling, these answers will help you make sure the money and the machine change hands safely.

What is the safest way to get paid for heavy equipment?

  • Lender funding. When the buyer finances, the lender pays you directly once the deal closes. It's one of the cleanest options available.
  • Bank wire. Confirm with your own bank that the funds have landed and can't be reversed before releasing the machine.
  • Cashier's check. Call the issuing bank using a phone number you look up yourself, not the one printed on the check, to verify it. Better yet, meet at the buyer's bank.
  • Escrow. A reputable escrow service can hold funds until the machine is delivered.

What are the most common equipment payment scams?

  • Overpayment scams. The "buyer" sends a check for more than the price and asks you to wire back the difference. The check bounces days later.
  • Fake cashier's checks. High-quality forgeries that your bank may make available before they're found to be fake.
  • Fake escrow sites. The buyer insists on a little-known "escrow" company they control.
  • Remote shippers. An overseas buyer who can't inspect the machine but insists on sending a shipper.
  • Buyer-side scams. Machines that don't exist, priced far below market, with a request for a deposit by gift card or crypto.

Is cash safe?

For smaller amounts, cash counted at a bank, where it can be checked for counterfeits and deposited immediately, is reasonable. Carrying large amounts of cash is risky, and cash transactions over certain thresholds can carry federal reporting requirements for businesses.

When should I hand over the machine?

Only after the funds have cleared and can't be reversed, and after both parties have signed the bill of sale. A legitimate buyer will understand.

How should buyers protect themselves?

Verify ownership and liens first (see how to check liens), inspect the machine in person or through a third party, and pay only by traceable methods. Never pay a deposit before seeing the machine and the seller's ID.
